There are methods and guidelines to be followed for secure digitalisation of data. The format and content of the data to be digitalised has to be transferred in it's original form. Standards of copyright and digitalisation have to be followed properly. It has to be deposited in a secure environment where it can be preserved for a long time and yet needs to be available on request.

Successful digitalisation needs to be catalogued as to how it was obtained and a primary objective of the data collection and its uses must be recorded. There are some archives that need to benot only securely stored but also need to be kept confidential. One has to prepare a report and create a secure password for that particular confidential data. Report and accessibility can be handed over only to the authorised persons and not anyone else. It has been often observed that databases have repeated contents and it is difficult to identify which database is valuable, so for this one has to ensure that original database doesn't create conflict between newer one and integrity should always be maintained.

Backup.

Backup of data is the most essential part of digitalization of archives or historic data. There were cases reported in the past few years where data was lost and could not be recovered after so much of effort. In recent times at one of the big libraries, data was lost in transits and couldn't be recovered.

The root cause of the problem was storage on discs and floppy without proper back up. While in transit it has been observed that out of 6000 discs, 300 discs were corrupt or became corrupt and there was no backup of that data. Many software developers tried to recover data but after so much of work, it was in vain. 

Recovery.

Recovery of data and again, storing at a secure place is possible, is essential if we make timeous efforts, espcialy to safguard historical valuables. There have been incidents that have taken place involving the shutting down of some of the archaeological libraries and places that closed though a lack of financial aid. It has become necessary to move those historical and archaeological valuables to some other museum or at a library.
